JOIN THE AUSTIN AMFT BOARD

Austin AMFT members and colleagues, your organization is looking for some new faces to join the board of directors for the upcoming 2022-2023 term. Our goal is to continue providing the excellent programing and quality support that has been the cornerstone of our group.

This month we are collecting bios from interested members. We will send out a ballot in November and announce the winners in December. New members will join our first board meeting in January.

The positions and their descriptions up for re-election are as follows:


President-elect

DESCRIPTION:

President-elect shall be Clinical Member or Associate Member with a reasonable expectation of completing Clinical Member status before completion of the one (1) year term. The President-elect shall serve a term of one (1) year and shall succeed to the office of President. In order to succeed to the President’s position, the President-elect must be a Clinical Member. In the absence of the President, the President-elect performs the duty of President, including running the board meeting and chapter meeting.

RESPONSIBILITIES:

  • Responds in a timely manner (24-48 hrs) to member or community questions sent via email to AAMFT or through the website of AAMFT.  If this cannot be done, the President-elect will delegate this duty to the President or Past President for assistance.

  • Leads the introduction session for attendees and speakers at monthly CEU luncheons.

  • Keeps possession of AAMFT marketing materials (i.e., t-shirts, etc.) throughout the year for the organization’s special events.


Treasurer

DESCRIPTION:

Treasurer shall serve a term of two (2) years. The Treasurer shall oversee the management of funds for duly authorized purposes of the Chapter, prepare the annual budget, and present periodic financial reports to the membership, as well as prepare any other financial documents required by law. The fiscal year of the Chapter shall begin on the first of January. The Treasurer shall be responsible for updating Austin AMFT’s Continuing Education (CE) Sponsor status and for paying required CE Sponsor fees as specified in the licensing rules of each state licensing board of the mental health professionals in Texas. 

RESPONSIBILITIES:

  • Views monthly financial statements for the organization, including banking, credit card processing, and tax documentation.

  • Makes any necessary and appropriate tax payments or filings for AAMFT.

  • Creates an organizational profit and loss financial report to be presented at each monthly board meeting and delivers this report to the president 1-2 days prior to the board meeting.

  • Communicates with Board President, President-elect, and Past President regarding any outstanding balances, significant financial discrepancies, or questions regarding financial tracking and bookkeeping.

  • Makes sure “Sales and Use Tax Exemption Certificate” forms are kept  ready for any purchases made through AAMFT. Keeps and files all receipts, both income and expense, from AAMFT and upload into Google Drive folders within two weeks of the event/meeting date.

  • Works with the Secretary to assist with appropriate refund requests using online financial programs.

  • Makes approved payments for speakers, workshops/trainings, and other organizational purchases.


Program Director

DESCRIPTION:

The Program Director shall serve a term of two (2) years and, along with committee members, shall be responsible for coordination of the speakers at each chapter meeting. The Program Director shall coordinate CE events for the following year by recruiting event speakers, obtaining a CV and meeting objectives for each event speaker and submit  to the Public Relations Director and Outreach Director  for publication and the Secretary for documentation, and coordinating  all communication with each speaker, including technology requirements, prior to each event and any appreciation after. S/he shall be responsible for scheduling the speakers for the chapter meetings. S/he shall write a thank you note to each speaker, request a vita for each speaker for the local chapter Secretary to keep on file, as well as share pertinent information regarding chapter meetings, topics, and speakers with the Austin AMFT officers and Board.

RESPONSIBILITIES:

  • Secures speakers for all monthly CE/luncheon events for the year. Must obtain a CV and meeting objectives for each event and submit to the Public Relations Director and Outreach Director for publication and the Secretary for documentation at least one month prior to the event date.

  • Coordinates all communication with each speaker, including technology requirements, prior to each event and any appreciation after.

  • Schedules the speakers for the Chapter meetings. 

  • Writes a thank you note to each speaker, request a vita for each speaker for the local chapter Secretary to keep on file, as well as share pertinent information regarding chapter meetings, topics, and speakers with the AAMFT officers and Board.


Public Relations Director

DESCRIPTION:

The Public Relations Director shall serve a two (2) year term. The PR Director, along with his/her committee members, shall be responsible for writing, editing, assembling, and disseminating the Chapter electronic newsletter or announcements prior to each chapter meeting, maintaining the chapter’s website, and generally overseeing communications that reach the public’s eye. The Public Relations Director shall be responsible for keeping an updated mailing list and a chronological file of all the newsletters for the Chapter online. The PR Director will coordinate activities as appropriate with the Outreach Director and the Program Director.

RESPONSIBILITIES:

  • Writes, edits, assembles, and disseminates the Chapter electronic newsletter and announcements prior to each chapter meeting, maintains the Chapter’s website, and generally oversees communications that reach the public’s eye.

  • Keeps an updated mailing list and a chronological file of all the newsletters for the Chapter online.

  • Coordinates event activities as appropriate with the Outreach Directorand the Program Director.

  • Updates website for upcoming events, ad postings, and any other pertinent information needed on website each month.

  • Communicates with members and others about advertising inquiries, as well as sends invoices for advertising.


Elections & Engagement Committee Member

DESCRIPTION:

The Elections & Engagement Committee Member shall serve a three (3) year term. Board members on the Elections and Engagement Committee will serve the organization by engaging new and continued members at meetings and events and will execute the election process in the fall of each year. Specific ways of engaging members include and is not limited to: welcoming meeting attendees, encouraging membership, and informing attendees about upcoming events, opportunities and elections. 

RESPONSIBILITIES:

  • Engages new and continued members at meetings and events (i.e. welcoming meeting attendees, informing attendees about upcoming events, opportunities and elections, encouraging membership, etc.).

  • Executes the election process in the fall of each year .

  • Prepares a slate containing at least one nominee for each position and determines the eligibility and willingness of each nominee to stand for election.

  • Counts ballots, along with fellow Elections & Engagement Committee members, as well as announces the newly elected board members at the following Board meeting and luncheon/CE event.


Member-at-Large

DESCRIPTION:

The Member-at-Large shall serve a one (1) year term. S/he welcomes meeting attendees, encourages membership, and informs attendees about upcoming events, opportunities, and elections. . The Member-at-Large also assists at the registration table for monthly in-person luncheon/CE events, as well as assists other Board members in performing roles and responsibilities as needed.

  • Welcomes meeting attendees, encourages membership, and informs attendees about upcoming events, opportunities, and elections. Assists at the registration table for monthly in-person luncheon/CE events.

  • Assists other Board members in performing roles and responsibilities as needed.


Student Representative

DESCRIPTION:

The Student Representative shall ​serve ​a ​one ​(​1) year term​. Student Representative shall ​continue ​in ​their ​position on the board ​after ​graduation until the ​completion of their term ​as ​long ​as ​s​/he is in good standing.

RESPONSIBILITIES:

  • Welcomes meeting attendees, encourages student membership, and informs attendees about upcoming events, opportunities, and elections. 

  • Informs their affiliated university and other local universities about AAMFT membership, events, and benefits of being involved in the organization.

  • Helps organize, attend, and promote student-focused events (i.e. Student/Associate  – Supervisor Meet & Greet events).

  • Assists other Board members in performing roles and responsibilities as needed.
